Terms and Conditions
Introduction
By sending a completed booking form, the Client enters a legally binding agreement with Emma Snape (“the Photographer/Videographer”), which may include a replacement professional of equivalent standard should unforeseen circumstances arise. This agreement supersedes all prior discussions, and any amendments must be made in writing and accepted by both parties (email is acceptable).
Booking Fee & Final Payment
To reserve your date, a non‑refundable booking fee of £300 is needed upon contract signing. This fee secures your chosen photography and/or videography package and date. The remaining balance is due no later than three months before the event or upon signing, whichever is later. Clients are strongly recommended to take out wedding or event insurance to protect against unforeseen cancellations.
Cancellation
If the Client cancels after the 14‑day cooling‑off period, the booking fee is non‑refundable. For cancellations less than two calendar months before the event, the full payment is non‑refundable. All cancellations must be made in writing.
Travel & Accommodation
Travel is included for venues within 100 miles of Birmingham, UK. Beyond this, mileage will be charged at 45p per mile. Accommodation costs must be covered by the Client if an overnight stay is necessary. During dinner or extended coverage, a private space for backing up images and video footage is appreciated—no meal is required for the Photographer/Videographer.
Force Majeure & Availability
In the unlikely event of illness, severe weather, or unforeseen emergencies, Emma Snape will make every effort to secure a replacement photographer/videographer of comparable style and professional standing. If a suitable replacement cannot be found, liability is limited to a full refund of payments received.
Emma Snape maintains the highest standards in capturing, transporting, and processing all photographic and video work. Should images or footage be lost, damaged, or rendered unusable—whether through technical malfunction or events beyond control—liability will be limited to the total fees paid, or the reasonable cost of restaging essential coverage where possible.
Liability
In case of technical failure, loss, or damage to images or video beyond control, liability is restricted to the return of payments or the reasonable cost of a re‑shoot/re‑recording (if feasible). No responsibility is accepted for indirect or consequential loss.
Safety & Responsibility
Clients and guests participate at their own risk during photographic and video sessions. The Photographer/Videographer cannot be held responsible for personal accidents.
Style
Emma Snape documents each event in a candid, storytelling‑driven style, blending spontaneous moments with elegant formal coverage across both photography and videography.
Clients are encouraged to provide a Shot List outlining specific groupings, names, relationships, and key video moments. While every effort will be made to honour requests, the final selection is guided by creative judgement and is not guaranteed.
Due to the unpredictability of weather, venue conditions, and guest participation, not every requested image or video clip can be guaranteed. Artistic licence is granted in terms of poses, composition, filming style, and editing approach.
Clients will receive a professionally curated gallery of high‑resolution images and/or edited video content. The quantity and duration will vary depending on the nature of the event.
Image & Video Editing & Delivery
Images and video footage are professionally edited for light, tone, colour, and continuity. Additional retouching or edits are available at an extra cost. Delivery timelines are typically 3–6 weeks. Unedited RAW files or footage will not be shared.
Copyright & Usage
Emma Snape retains full copyright of all images and video footage. Clients are licensed to use content for personal purposes. Commercial or third‑party usage requires written permission. Selected work may be used for portfolio, social media, exhibitions, or promotional purposes while respecting client privacy.
Venue Access
Access for photography and videography may be restricted by venue staff or ceremony officials. The Client is responsible for ensuring the necessary permissions are granted.
Exclusivity & Guest Coverage
Emma Snape is the sole professional photographer/videographer at the event. Guests may be politely asked to refrain from capturing key moments if it obstructs professional coverage.
Conduct & Wellbeing
Verbal or physical abuse toward the Photographer/Videographer will result in immediate termination of services with no refund issued.
Governing Law
This agreement is governed by the laws of England and Wales. If any provision is considered invalid, the remainder of the contract remains effective.
